The decision on how to run a kick-off meeting will always depend on the project nature. I suggest to do two kick-off meetings to initiate the project:
- External Kick-off meeting: to align the stakeholders’ expectations around the project’s goals, scope, and objectives. This ensures that everyone is on the same page and working towards the same objectives.
- Internal Kick-off meeting: to help to build team cohesion by introducing team members to one another, establishing roles and responsibilities, and clarifying expectations. This can improve collaboration and cooperation throughout the project. If you decide to do an internal kick-off meeting, try to do it in person. It is a good opportunity to get to know each other and have a proper team building.
A successful kick-off meeting is important to establish communication channels between the project team and stakeholders. This helps to ensure that everyone is informed about project progress, issues, and risks. The kick-off meeting also sets the tone for the project, establishing expectations around quality, timelines, and project management processes. This helps to ensure that the project is successful and delivered on time, within budget, and to the required quality standards. And we shall not forget the risks! The kick-off meeting is a good opportunity to identify potential risks and issues that may impact the project’s success. By identifying these early, the project team can take proactive steps to mitigate or avoid them.
